Job Description
Company: Encompass Media Group
Job Title: Operations Coordinator
Location: Long Island City, NY (Hybrid Position) Typical 3-4 days in-office
Responsibilities:
- Maintain/Track and consistently update the database of projects to ensure that the Operations Team has accurate and current information needed for each program.
- Create/Maintain/Verify Campaign Tracking Reports
- Monitor Field Reps and provide the Operations Team with correct tracking and reporting of field activity for all current programs.
- Create/update/compile all campaign paperwork and manuals with the proper information.
- Prepping, packing/shipping/tracking all materials needed for each program before the start date of a campaign.
- Warehouse Inventory Control: Tracking/Booking/Shipping/Inventory Counts
- Field Representative Coordination: provide the proper information/return labels to get materials and paperwork back from the field and timely invoices received and tracked.
- Securing locations for media placement for multiple programs
- Gather and provide any information needed for the operations director and operations managers.
Marketing Responsibilities:
- Proof of Performance Reports
- Research
- Mapping capabilities using multiple platforms
Job Requirements
- Minimum one year experience as an Operations Coordinator
- Expert/proficient in Microsoft Office Suite
- Position requires meticulous attention to detail
- Team player understanding how performance as a “can-do” operations professional helps strengthen current client relationships and facilitate new ones
- Must be able to pick up quickly in a fast-moving environment and multitask
- Must be able to think outside of the box and provide ideas and solutions

Job Title—Outside Sales Manager
Position Summary
Manages the billboard sale process for specific markets.
Essential Job Functions and Tasks- These essential functions include, but are not limited to, the following. Additional essential functions may be identified and included by the hiring department.
- Prospect for new clients via cold calling, in-person visits or scheduling meetings in assigned markets.
- Research specific areas and/or other media or competitors to target unsold inventory.
- Procure new sales by assisting potential customers with billboard availability, sending proposals and contracts, negotiating contract terms, and arranging payments. Follow up on all leads.
- Manage current accounts by rolling over expiring contracts and up selling where needed.
- Work with graphic designers to organize the design of billboards. Ensure billboards are printed correctly, to customer specifications, and posted by the promised time.
- Conduct quarterly market rides using personal vehicle, in assigned markets. Some markets may require overnight stay in a hotel.
- Work with operations to ensure signs are in the best condition.
- Assist with the collection process. Contact customers for payments and submit legal collections, as needed.
- Attend weekly market and business development meetings.
- Manage the Business Development Associate. Oversee performance of duties, approve timesheets/PTO requests, and conduct annual performance review.
- Perform similar or related duties as required or assigned.
Required Education and Experience
High school diploma (or equivalent) is required plus two years of related experience; including high-level administrative duties and account management/reporting.
Five years of related experience preferred.
Required Knowledge, Skills, and Abilities
Intermediate knowledge and skill of:
- Microsoft Windows environment.
- Internet browsers.
- Outlook
Must possess great attention to detail, strong organization skills, and strong written/verbal communication skills.
Customer Service skills.
Ability to:

Requirements:
- Proven experience as a graphic designer, with a portfolio of billboard designs
